Four questions that settle it
- Does the work cross more than one team or system before it is finished?
- Do two systems currently hold a version of the same fact, with no agreed reference?
- Does the outcome require a named person's approval before it leaves the organisation?
- Would you need to reconstruct the decision later for a client, investor, auditor or regulator?
One 'no' to all four points to a point tool: buy it, scope it narrowly, move on. Two or more 'yes' answers mean the work is architectural, and a tool added on top will be reconciled by people rather than by the system.

You can do both — in an order
Choosing an operating system does not mean removing the tools a business runs on. Most stay. What changes is that one system is named as the reference for each fact, and new capability is added inside that structure instead of alongside it.
The reversible and the expensive
Swapping a point tool is inconvenient. Unwinding three years of contested records across four systems is a project. Decide the record layer first, even if you buy tools for a while longer.
